This Privacy Policy explains how Joanna Czub Psychotherapy ("I," "me," or "my") collects, uses, and protects your information when you visit joannaczubtherapy.ca, contact me, or book a session. I take your privacy seriously — both because the law requires it and because trust is the foundation of the work I do.

I am Joanna Czub, Registered Psychotherapist (Qualifying), a member of the College of Registered Psychotherapists of Ontario (CRPO). My practice operates in Etobicoke and Mississauga and offers secure virtual sessions across Ontario.

This policy covers two different kinds of information, held to two different standards:

  • Information you share as a client or prospective client — protected as personal health information under Ontario's Personal Health Information Protection Act (PHIPA).

  • Information collected through my website — handled in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information I Collect

Information you give me directly

When you fill out the contact form, request a free consultation, email or call me, or book a session, I may collect:

  • Your name

  • Your email address and phone number

  • Any information you choose to include in your message

  • Scheduling and appointment details

Please don't include sensitive clinical details in a website form or email. Those are best shared within our sessions, where they are properly protected.

Information collected automatically

When you visit the website, some information is collected automatically through cookies and similar technologies, including:

  • Your approximate location (city or region)

  • Your device type, browser, and operating system

  • The pages you view and how you arrived at the site

  • The date and time of your visit

This information is aggregated and used to understand how the site is performing — it is not used to identify you personally.

How I Use Your Information

I use the information above to:

  • Respond to your enquiries and consultation requests

  • Schedule, confirm, and manage appointments

  • Provide and coordinate psychotherapy services

  • Understand how visitors use the website so I can improve it

Google Ads and Remarketing

I advertise my practice using Google Ads. As part of this:

  • Google uses advertising cookies to help serve ads to you across the web.

  • I do not use remarketing as that violates the Health in Advertising policy.

Opting out will not stop you from seeing ads generally — it simply means the ads you see won't be tailored based on your visit to my site.

Squarespace

Online Booking

If you book a session, scheduling is handled through Jane, a secure practice-management and booking platform designed for healthcare providers in Canada. Information you enter to book an appointment is stored within Jane's secure, PHIPA-compliant environment. You can review Jane's Privacy Policy to understand how they protect your information.

How Your Information Is Shared

I share your information only where necessary to provide my services or to meet a legal obligation, including with:

  • Service providers who help me operate my practice and website, such as my website host (Squarespace), booking platform (Jane), and analytics and advertising providers (Google). These providers process information on my behalf and are bound to protect it.

  • Authorities or third parties where I am legally or professionally required to disclose information (see Confidentiality below).

I do not sell, rent, or trade your personal information to anyone.

Confidentiality of Clinical Information

What you share with me in therapy is confidential. This is a professional and ethical obligation under CRPO standards and PHIPA.

There are limited exceptions where I may be legally or ethically required to disclose information, even without your consent:

  • When there is a risk of serious harm to you or another person

  • When there is a reasonable suspicion that a child is or may be at risk of harm

  • When required by a court order or by law

  • Where otherwise required by my regulatory obligations

I will always aim to discuss any such disclosure with you wherever it is safe and appropriate to do so.

Data Retention

I keep clinical records for the length of time required by CRPO and applicable law. Website enquiries and contact-form submissions are kept only as long as needed to respond to you and to maintain reasonable business records, after which they are securely deleted.

How Your Information Is Protected

I take reasonable steps to protect your information from loss, theft, and unauthorized access. Sessions are conducted over secure, encrypted platforms, and the third-party services I use are chosen for their security and, where relevant, their compliance with Canadian health-privacy law. No method of transmission over the internet is ever completely secure, but I work to safeguard your information at every step.

Your Rights

Under PIPEDA and PHIPA, you have the right to:

  • Access the personal information I hold about you

  • Ask me to correct information that is inaccurate or incomplete

  • Withdraw consent for certain uses of your information

  • Ask questions about how your information is handled

Children's Privacy

My website and practice are not directed at children. I do not knowingly collect personal information from children through my website.

Changes to This Policy

I may update this Privacy Policy from time to time to reflect changes in my practice, technology, or the law. The "Last updated" date at the top of this page will always show when it was most recently revised.
